Welcome to Moderan!

We're happy to have you on board. Here are all the steps and key info to help you set up and start using your new account.

Log in to your account at https://www.moderan.net

If you have a separate server, make sure the first part of your address is correct. It might be https://XXX.moderan.net/login

This is a brief guide to help you get started. Follow the links to learn more about each view, module, or feature.


How to add Assets

Assets > Properties, Immovables, Buildings and Spaces

Assets overview

Property - an investment with a specific landlord. Can include several Immovables/Buildings

Immovable - a land plot, which gives an address to a building or a group of buildings

Building - a physical building or structure you lease out on a land plot

Space - a leasable single unit: a floor, a room, or a combination of some

Add a Property:

  • Go to Assets Properties
  • Click +ADD NEW and fill in Property Name*
  • Landlord: select from the drop-down if already added, or click + to add a new one and save

Don't forget to always click SAVE in the top right corner when you make changes.

Moderan links the Property name and Landlord directly to all its Buildings and Rental Contracts.

Add an Immovable:

  • Go to Assets > Immovables
  • Click +ADD NEW, select the Property Name* this immovable belongs to, and add the Address*

Add a Building:

  • Go to Assets Buildings
  • Click +ADD NEW and fill in Building Name* (the name will be visible in Contracts and Reports)
  • Select the Immovable* from the drop-down

The Leasable area of the Building will be automatically calculated once the Spaces are added.

Add Spaces:

  • Go to Assets Spaces
  • Click +ADD NEW and fill in Space Name* and Building*
  • Select Space Function from the drop-down
  • Make sure Leasable space is checked if the Space is leasable:

  • Add Space size

How to add Rental Contracts

Contracts > Rental Contracts > +ADD NEW

Adding Rental Contracts is the most important part of getting started with Moderan - it may take some time, but once added the system works flawlessly and saves you time.

Start by adding the Rental Contracts with the closest deadlines.

A Rental Contract card consists of several blocks of information: Contract Information, Rent and Other Fees, Contract Termination, Indexation, Notes, Interactions & Files, Email Reminders, and Persons.

Let's fill in the essential fields:

Contract Information

  • Tenant*: add the name using the + sign or select from the drop-down
  • Contract Number*: a combination of numbers and letters to identify the contract
  • Transfer Date: indicates when the space is no longer vacant; also used in vacancy calculations
  • Start of Rental Payments: used for all rent calculations and reports
  • Building*: select from the drop-down

After selecting the Building, click Edit next to the Spaces field and assign the Spaces for this Contract. Once set, Moderan will automatically fill the Rental Space in the Rent and Fees block:

Rent and Fees

  • Moderan automatically calculates the total of all added Spaces as Rental Space in m² (if you added Spaces in the previous step)
  • Monthly Rent or Rent per unit: insert only one — either Monthly Rent or Rent per m². Moderan will calculate the other after the Rental Contract is saved
  • Payment interval*: select Month, Quarter, Half-year, or Year

  • Add other fees: click to open the Rent and Fees table and add other fees (Parking, Maintenance, Marketing, etc.)

For every other fee, fill in:

  • Billing Name*: only one active fee of the same name is allowed per contract (one Rent, one Marketing, etc.). If you add a new row with the same Billing name, Moderan will interpret this as an update/change to that billing type. Admin users can add custom Billing names in Admin Settings. You can find more information here.
  • Start date: can be a date in the future — when the date arrives Moderan updates the rent accordingly
  • Basis*: the way you bill this fee: By m², By units, Fixed amount per month, Daily, or Once

Hit the Save icon at the beginning of the line when all information is added:

Edit/Delete options are only for fixing an error in an existing fee. When you want to change the Rent/Fee, add a new row — don't delete/edit previous dates.

For example, if a tenant's rent should change on 01.01.2025 from 8.85 to 9 eur/m², click +ADD NEW, set the effective Start date, add the same Billing Name, the new fee amount, and Save.

Historical data is saved and displayed as greyed out rows to distinguish between active and inactive lines.

Overview of Data and Reports

Once Assets and Contracts have been added, you gain access to both an overview of your portfolio and detailed reports covering tenant changes, revenues, property performance, and more.

In the Properties view, you'll find key metrics for each property, including:

  • Total leasable area (from all buildings under the property)
  • Vacancy rate
  • Total monthly rental income
  • Average income per m²
