How to add or edit a Person

 Contacts > Persons

You can add contact Persons in Moderan and link them to Contracts, Organizations and Properties. This keeps all information about key people and responsibilities easily accessible in one location.


Adding a new Person

To add a new Person:

  1. In Contacts > Persons click +ADD NEW.
  2. Enter information about the Person: First Name, Surname* (mandatory field), Organization, E-mail, Phone and other details

    If an Organization (Landlord, Tenant or Service provider) is selected in the Organization field, the Person will be linked to it and the Person's details will be visible in the Organization's card

  3. Click Save.
  4. Now you can have an overview of all created Persons' details in the list view.

Editing a Person's details

There are two ways to view or edit a Person's card:

  1. Hover over the First name column in the grid, click on the cog icon and select VIEW or EDIT. Be sure to click SAVE upon updating the details.

     

  2. Click straight on the Person's First Name and in the Person's card view hit EDIT.

Linking Contract, Property to the Person's card

Once the Person is created, you can edit the information and associate relevant Contracts and Properties with this Person.

Steps to link a Rental Contract:

  1. Scroll down to the Contract bar and click +ADD NEW.

  2. In the pop-up table, start typing the Contract Number, Tenant name or Property name — the list of results will appear. Select the needed Contract. The Contracts* field is mandatory.

  3. Select one or multiple Roles for the Person, if relevant: 
    • Authorized signatory, 
    • Accounting, 
    • Technical, 
    • Marketing.

Admin users can create more custom Roles for Persons (Admin > Settings), e.g. Facility Manager, Leasing Manager, etc.


Linking Persons to Rental Contracts or Properties

 Contracts > Rental Contract > Persons block
 Assets > Property > Persons block

Steps to link a Person to the Rental Contract:

  1. Go to the Rental Contract card, scroll down to the Persons block and click +ADD NEW.

  2. Select a Person from the drop-down. This field is mandatory.

    If a contact Person is not present in the drop-down list (not yet created in Moderan), you can create one by clicking the plus sign (+) next to the Persons* field.

    To add full information about the Person (phone number, email, etc.), click on the newly created Person's name or go to Contacts > Persons and edit the relevant Person's card.

  3. Click on the Roles field and select one or multiple Roles for the Person.
  4. Do not forget to click the Save icon.

Steps to link a Person to the Property:

  1. In the Property card > Persons block click +ADD NEW.
  2. Fill in the fields:
    Persons* – if this Person is already available in Moderan (created under Contacts > Persons), select them from the drop-down menu. If the Person is not present in the list, create a new one by clicking the plus icon (+).
    Roles – select one or multiple Roles for the Person, if relevant.

    If a Person is linked to a Contract, they will appear on the Organization related to that Contract.

    You can easily navigate between interlinked Persons, Contracts, Organizations and Properties by clicking on the name of a Person.
